The Ideal Candidate for this Position

We currently have an exciting opportunity for a Sales Coordinator and are actively looking to meet the best and brightest talent that the hospitality industry has to offer. What you will be doing

The Sales Coordinator plays a vital role in supporting the Sales team through effective communication, accurate processing of bookings and contracts, and efficient administrative support. This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced, customer-focused environment.

Job Requirements

Ideal Experience and Personal Profile

• Provide day-to-day support for Sales Managers and Directors.
• Attend daily meetings with Directors and Sales Managers to review priorities and assigned tasks (via Salesforce, email, or in person).
• Ensure timely and accurate processing of all stages of the booking and contracting process.
• Draft and distribute License Agreements, Addendums, Release Letters, Thank You Letters, and Guest Satisfaction Surveys.
• Prepare and maintain reports, including Sales Production, CRDA, Daily Transaction, Status Change, Lost Business, and activity reports.
• Maintain filing systems and create event files when bookings become tentative.
• Provide administrative support, including expense reports, purchase orders, and check requests.
• Assist with marketing efforts such as sales kits, promotional collateral, PowerPoint presentations, advertising, Constant Contact campaigns, and event mailings.
• Support client communications with professionalism and courtesy, including phone coverage and reception desk duties.
• Monitor and maintain department resources (e.g., menu packets, memberships, conference registrations, and travel arrangements).
• Complete special projects as assigned by Directors.

Qualifications

• Strong multitasking and time management skills in a fast-paced environment.
• Excellent communication skills (written, verbal, and interpersonal).
• Professional telephone etiquette and client service orientation.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint), Salesforce, and Adobe Acrobat.
• High attention to detail and accuracy in record-keeping.
• Self-motivated, proactive, and able to work independently.
• Solid computational skills; comfortable with percentages, ratios, and data analysis.
