Marketing and Programming Guest Experience Coordinator

The Marketing and Programming Guest Experience Coordinator will possess a background in marketing a lifestyle brand, developing strategic partnerships, and will have experience in adapting new concepts and ideas into successful campaigns.  They will develop strategies to maximize financial performance and achieve maximum guest satisfaction.

We are seeking a creative individual with proven success as a proactive leader. You must be passionate about the New York Hudson Valley Region to cultivate and nurture strategic partnerships with local vendors and attractions, including restaurants, wineries, breweries, etc., as well as local media outlets. You'll play a vital role in amplifying Hutton Brickyard's presence and enhancing the guest experience by crafting unique collaborations and fostering mutually beneficial relationships.

Responsibilities:

  • Manage WAY, the platform used to deliver experiences to guests at Hutton Brickyards. Ensure the platform is working efficiently in all formats, platforms, and operating systems.
  • Ensure a seasonal set of guest offerings that are fresh and exciting.
  • Develop and share KPI of all offerings monthly to General Manager.
  • Oversee and coordinate the contract workforce of programming vendors/ contractors to ensure services are delivered according to Hutton Brickyards standards.
  • Will assist the General Manager and Corporate Human Resources for third party programing contractors, including engaging, scheduling, payment of and termination of contractors as needed and in accordance with company policy.
  • Administer and oversee payment of independent contractors such as: estheticians, massage therapists, yoga instructors and other activity providers. Generate and oversee biweekly commission reports.
  • Organize information of all vendors, activities, contact information and rate schedules.
  • Execute excellent email, departmental and pre-shift communications.
  • Use the guest’s name whenever possible and appropriate.
  • Communicate and arrange guest adventures, dining, and spa to appropriate teams.
  • Coordinate all information and materials with our public relations agency, social media agency, WHG marketing team, and site department heads.
  • Coordinate photo shoots.
  • Coordinate annual public relations event calendar and review overall strategy and ensure content calendar is relevant and up to date.
  • Coordinate content concepts and facilitate photo shoots, both still photography and video.
  • Coordinate and ensure all programming happening on site fits within the Hutton Brickyards brand voice, narrative, and framework.

Property Programming

  • Create and coordinate a robust calendar of activities, programming, experiences, and events for the bars/lounges, terrace, and event space utilizing our public relations agencies and strategic partnerships.
  • Update content at the front desk, sundry shop, guestrooms, and tablets.
  • Coordinate local press and public relations.
  • Coordinate local flyers and collateral shared with community vendors and merchants.
  • Maintain talking points for property programming to share with colleagues, assist with on-boarding and training of new hires.

Digital

  • Coordinate other marketing with our digital agency for ongoing SEO, PPC, retargeting and paid social media. Review reporting and analysis to verify ROI.
  • Coordinate other marketing with website and manage the calendar for ongoing content updates throughout the year.
  • Coordinate other marketing with social media by supporting our social media agency with influencer relations and community engagement opportunities.
  • Monitor and coordinate other marketing with guest facing touchpoints and distribution platforms to ensure new & accurate information is updated across platforms, including mobile app, in-room tablet, OTA’S, and brand affiliation websites and digital marketing.
  • Audit online review sites monthly and provide takeaways. Quickly answer any negative or positive reviews on all platforms, Instagram, Open Table, Facebook, etc.
  • Work with WHG Digital Marketing Ecommerce team on Eblasts, Promotions, and Direct Marketing campaigns for Expedia / OTA marketing campaigns.

Public Relations

  • Coordinate other marketing with our public relations agency on overall strategy and coordinate on-property press stays.
  • Generate public relations worthy events and programming for the hotel.
  • Media and Influencer stays: Coordinate other marketing with F&B offerings, personalized amenities, and property experiences.

Partnerships & Packaging:

  • Identify prospective marketing partnerships and assist in various duties related to current partners.
  • Develop KPI for successful events, promotions, and partnerships.
  • Generate new package ideas with the marketing & revenue team.

Competitive Research:

  • Research new opportunities to grow marketing efforts. Specifically, identify:
  • Digital: Culturally relevant offers, hotel promotions, influencer lists, and content.
  • Partnerships/Programming: Notable events and collaborations.
  • Neighborhood/Hudson River Valley Happenings.

Job Requirements

  • Experience equivalent to intermediate, or preferably advanced, user level in: Microsoft Office
  • Excellent written, verbal and presentation skills, with the ability to review written material for compliance with rules of correspondence and grammar.
  • Skilled in the use of general office equipment (i.e. copiers, fax machines, etc.).
  • Contribute to overall guest satisfaction by promptly responding to emails & phone calls.
  • Prioritize & respond to leads in a timely manner & with the correct information.
  • Collaborate with other departments within the property regarding queries, leads & events.
  • Create, maintain, update & maintain the necessary documents & presentations to assist the Sales team in generating & tracking business leads.
  • Maintain the events calendar for all departments including site visits, programming events, tentative holds & in-house groups.
  • Ability to excel in a diverse work environment and communicate with individuals having a wide variety of educational levels and socioeconomic backgrounds.
  • Ability to organize work, plan multiple activities, establish priorities, and meet deadlines with the ability to maintain a positive, professional demeanor.
  • Availability for normal business hours, with flexibility to work hours outside the typical workday based on business demands is required.
  • Applicants with prior hotel and/or hotel sales experience preferred.
