Guest Experience Assistant

The Guest Experience Assistant supports the day-to-day coordination of guest activities, programming, and special experiences throughout the property. This is a hands-on position that requires flexibility, creativity, and a strong guest service mindset while assisting multiple departments in creating memorable stays for our guests.

This role assists with coordinating guest programming vendors and activities while ensuring services are delivered according to Hutton Brickyards standards. The Guest Experience Assistant will work closely with the Guest Experience team, Front Desk, Operations leadership, and outside vendors to help execute experiences both on and off property.

Responsibilities include assisting guests with activity recommendations, dining reservations, transportation suggestions, and itinerary planning while maintaining strong knowledge of the Hudson Valley region including local attractions, restaurants, wineries, breweries, hiking trails, and seasonal events.

The position will also support social media efforts by capturing photos and videos, helping maintain daily property posts, and assisting with promotional materials and guest engagement content.

Additional responsibilities include:

• Assisting with scheduling and coordination of activity providers and vendors
• Supporting guest requests and special occasion arrangements
• Responding to guest inquiries via phone and email in a timely and professional manner
• Maintaining accurate vendor and activity information within hotel systems
• Communicating guest itineraries and requests to operational departments
• Assisting with pre-shift communications and daily property updates
• Supporting the creation of guest packages, seasonal specials, and programming ideas
• Helping maintain cleanliness, organization, and presentation of guest activity areas
• Assisting with promotional signage and printed collateral throughout the property
• Working closely with the Front Desk team regarding arrivals, stay inclusions, and last-minute requests
• Maintaining complete knowledge of property offerings and upcoming events
• Making recommendations to improve guest satisfaction and overall guest experience

The ideal candidate is outgoing, organized, social media savvy, knowledgeable about the Hudson Valley region, and passionate about hospitality and creating memorable guest experiences.

Job Requirements

• Experience equivalent to intermediate, or preferably advanced, user level in: Microsoft Office

• Excellent written, verbal and presentation skills, with the ability to review written material for compliance with rules of correspondence and grammar.
• Skilled in the use of general office equipment (i.e. copiers, fax machines, etc.).
• Contribute to overall guest satisfaction by promptly responding to emails & phone calls.
• Prioritize & respond to leads in a timely manner & with the correct information.
• Collaborate with other departments within the property regarding queries, leads & events. 
• Create, maintain, update & maintain the necessary documents & presentations to assist the Sales team in generating & tracking business leads. 
• Maintain the events calendar for all departments including site visits, programming events, tentative holds & in-house groups.
• Ability to excel in a diverse work environment and communicate with individuals having a wide variety of educational levels and socioeconomic backgrounds.
• Ability to organize work, plan multiple activities, establish priorities, and meet deadlines with the ability to maintain a positive, professional demeanor.
• Availability for normal business hours, with flexibility to work hours outside the typical workday based on business demands is required.
• Applicants with prior hotel experience preferred.
